How to apply for EACR Meeting Sponsorship

Application Guidelines 2011

  • The event should be organised by a European organisation or scientific association and should have Cancer Research as the major topic in the programme. Lectures will be delivered in English.
  • Usually the event should be organised in Europe. Exceptions may be made where EACR is supporting or developing links with a cancer research network or Association outside Europe.
  • At least one member of the Organising Committee should be a standing member of the EACR with a minimum of three years of membership.
  • Applications should be sent to Kathryn Wass, kathryn.wass@nottingham.ac.uk, at the EACR Secretariat in Nottingham.
  • Applications should be received at least six months prior to the event.
  • Applications are considered to a maximum of 2,000 Euro.
  • Please detail the expected participant numbers. The minimum number of registrants for a sponsored meeting is 90.
  • EACR will also consider sponsoring a named speaker - preferably an EACR member – contributing a maximum of 500 Euros towards expenses. Sponsored lecture to be highlighted in programme/web.
  • EACR will also consider contributing a maximum of 500 Euros to support a poster prize.

Note: The organisers will make arrangements for the judging of the posters and may decide to make a single award or divide the prize fund between up to 3 award winners if thought appropriate. EACR sponsorship and value of the prize should be highlighted in the advance programme. EACR will also provide framed certificates for the poster winners.

To assist EACR’s development, we ask for the following partnership support:

  • Written report including photographs for the EACR Yearbook.
  • EACR’s logo to be prominently displayed and its sponsorship noted, in the conference programme and on the conference web site with a hyperlink to www.eacr.org.
  • An invitation for a representative(s) of the Association to attend and make information available to delegates. Or if the Association is unable to be represented, the display of an EACR information slide, or the circulation of an information sheet, at an appropriate point during the meeting.
  • Poster prize (If applicable) an invitation for the EACR representative in attendance, or the Association’s nominee, to present the poster prize(s).
  • Contact list: Address labels or e-mail addresses of delegates to be provided for one time use by EACR to remind delegates of the membership offer.

Applications should consist of:

  • A summary note (300 words maximum) indicating the objectives of the meeting.
  • A list of the sponsorship items requested and their value.
  • A detailed description of the financial support available or requested from other sources (both national and international).
  • A programme of the event including all invited speakers who have confirmed their attendance.
  • A signed note of acceptance of the guideline criteria.

Applications will be sent to the EACR Sponsorship Committee following each closing deadline and a response can be expected to be received within one calendar month. Application Deadlines: 31 December, 30 April and 31 August.
